Executive Secretary

For our client we are looking for an Executive Secretary with exceptional administrative and clerical skills. An Executive Secretary who can multi-task and work well under pressure in a fast-paced environment. The Executive Secretary is expected to be well organized and an exceptional communicator with a keen interest in providing reliable and accurate support to the Managing Board while working with confidential information. Top candidates will possess incredible problem-solving and office coordination skills and exhibit excellent time management.
Responsibilities:
  • Maintain executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.) of the Managing Board.
  • Handle confidential documents ensuring they remain secure.
  • Prepare and coordinate all meetings, seminars, and other gatherings and take the minutes of meetings.
  • Receive and screen phone calls and redirect them when appropriate.
  • Manage the archive and electronic filing system for the Managing Board.
  • Formulate and supervise procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Prepare annual budget for the office.
  • Manage the accommodation arrangements for company visitors/ clients.
  • Make travel arrangements for executives.
  • Prepare invoices or financial statements and provide support in bookkeeping.
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
Requirements:
  • Minimum Bachelor’s degree. Additional professional qualifications in Legal are a plus.
  • A minimum of 7 years of working experience in a similar field.
  • Expert level (written and verbal) communication skills in English and Dutch are required.
  • Possess an enthusiastic and approachable personality.
  • Well organized and able to juggle multiple tasks; meets deadlines and ability to plan activities efficiently.
  • Ability to work independently and take the initiative.
  • Ability to build and maintain relationships with people at all levels.
  • A high level of professionalism and confidentiality is crucial to this role.
  • Tech-savvy with a strength and passion for simplifying and automating tasks and processes.
